Report Reveals Security, Access Compliance, Performance and Accuracy Concerns Prevent Enterprises from Effectively Leveraging AI

AUSTIN, Texas – September 10, 2024—M-Files, the leader in knowledge work automation, today announced the first Market Momentum Index: AI and Unstructured Data Management, conducted by Deep Analysis with support from M-Files and AIIM, which reveals the state of organizational readiness for AI adoption, the preparation of unstructured data for AI integration, and the tools, techniques, and skill sets being employed to support these initiatives. The research survey included 500 responses from US-based enterprises operating in five key industries: Financial and Insurance; Professional, Scientific and Technical Services; Manufacturing; Mining, Quarrying, Oil and Gas Extraction; and Utilities.

Key findings from the study reveal that most organizations have passed the experimentation phase and are now deploying AI into their day-to-day operations. However, key barriers still prevent enterprises from fully capitalizing on AI’s potential. While concerns about AI hallucinations, ethics, and bias often dominate headlines, respondents cited security and access compliance (43%) and performance and accuracy (40%) as more pressing challenges. Of those surveyed, 58% of respondents say they have identified multiple sources of unstructured data. 75% of respondents said they use Microsoft SharePoint for storing information and within that subset, 64% said they had up to 100 sites/instances, 36% said over 100, and 3% of those believed they had over 1,000 instances. These multiple sources and inconsistencies will have a fundamental impact on how AI can effectively operate and produce expected results.

Hafslund Celsio is the largest district heating supplier in Norway, operating a vast network of 700 kilometers (434 miles) of district heating pipes under Oslo, Norway’s capital city. “Hafslund Celsio chose M-Files based on the database import of documentation. It seemed like a flexible tool, easy to administer and change on our own with little need for support,” Kristine said.

M-Files integrated with Hafslund Celsio’s ERP system, IFS, and other systems such as Smallworld geographic information system (GIS) and SuperOffice CRM. These integrations facilitated real-time data updates and linked all documents to relevant assets, projects, and customers. Creating common views and metadata structures in M-Files also empowered employees to locate documents related to specific assets, customers, departments, or projects easily.

This customization improved the user experience and operational efficiency. Key processes, such as the new customer onboarding process, were also automated using M-Files. This ensured that tasks were completed in the correct order and that all relevant departments had the necessary documentation and actions. Field workers can also now use the M-Files mobile app to scan QR codes on equipment for instant access to related documents, improving efficiency and accuracy in the field.

Hafslund Celsio started its M-Files implementation after its 2018 merger, using the M-Files Importer tool to migrate over one million documents from four different databases and systems, including IFS, eDoc, and Public 360.   1. "Global PR strategy transformation. When I arrived at M-Files, we had PR agencies around the world and the budget and execution management was executed locally and none of the agencies were talking to each other. We have since shifted to a model where the global PR strategy is owned centrally at the corporate level, and we still use regional agencies, but we conduct monthly reviews with all of them. This provides us with amazing information sharing regarding best practices, successes and lessons learned, which has helped us achieve greater outcomes within the supply chain.
  2. Revitalized trade shows approach. Trade shows are making a comeback not just in the United States but also Europe, and this is becoming a successful marketing strategy again. Of course, like all things in marketing today, show participation must be done in an integrated fashion and the key is to be prepared with pre-event marketing, a booth, speaking sessions, and follow-up marketing and outreach.
  3. Utilization of Software Advice platforms. We leverage a platform called Software Advice that provides us with highly qualified potential customers that convert to pipeline exceptionally well. Buyers can connect with their advisors which leads to a recommendation of vendors that match their specific technology needs. These leads are highly qualified and convert exceptionally well.
  4. Value-based omni-channel messaging. Businesses pay for software that brings value to their enterprise. Our omni-channel, value-based messaging across digital properties, from promoted landing pages to blogs and social media posts, drive messaging to our ideal customer, highlighting impact and benefits to the knowledge workers across industries. Customers and prospects respond to this value-based, impact-driven messaging even in paid digital channels such as the Google Ad platform.
  5. Targeted marketing across diverse user groups. The M-Files platform is well-suited for a diverse range of technology user groups, spanning from accounting to human resources. These audiences are seldom on the same marketing channel at the same time. By staying on top of digital analytics, marketing key performance indicators (KPIs), campaign analytics, and survey results, we continuously evaluate new ads, messaging, and graphics, as well as marketing collateral placement on multi-channels.
