First jot down all work list and keep adding. Basically like a brain dump. Then prioritise in 4 categories based on urgency. And then plan them as per 60+10 formula, 60 min work and 10 min break.

To manage multiple deadlines with physicians, prioritize tasks based on urgency and importance, create a detailed schedule, and set interim milestones. Use project management tools to track progress and communicate regularly to address any issues early, ensuring that all deadlines are met efficiently.

All tasks have their unique urgency but first the lives of patients may be at stake at that moment hence the need to prioritize care before any other tasks. Prioritization saves you time, energy and resources. Deadlines can be met at every level and if all the tasks are crucial,delegations should be implemented according to strengths and capabilities.

Patient care is a herculean task if not done properly. First, prioritize what you want to do, like attending to the patients and providing them suitable treatment plans. Second, ensure you have guided the patient sufficiently so that he or she does not face trouble in dealing with the medications. Third, provide accurate information about the diet and other supplements if any. Last but not the least, ensure the patient understand why he is being given the type of medication and what exactly is his problem. For ensuring these, we need to maintain diaries or at least charts in hospital setup so that things can happen smoothly.

In a big organized healthcare facility every member is responsible for the outcome of the services offered. To ensure this, the staff must be well communicated from time to time about the jobs they are entitled to serve and whether they have been doing it well. Regular scrutinization of their daily deadline of the intended jobs must be done with either a pre-programmed chart or diary input so that, the staff also understand the nature of the urgency associated with the jobs being done. Communication is a great medium for dealing with the fatiguability of some staff and their unwillingness to adapt to newer responsibilities.

Contact with all team members in an Operating Center is critical to excellent patient outcomes. It takes a village to take care of a patient who is having a surgical procedure. Collaborating with the Pre-Operative, Operative and Post-Operative Teams is what prevents mistakes and unintentional problems.

Teamwork and communication goes hand in hand. If there’s no communication there won’t be teamwork and the goal will not be achieved. After delegating roles, communicate clearly and concisely everyone’s deadlines and what is expected of them.

Be Precise and Concise: Provide information in a clear and straightforward manner. Avoid jargon and get to the point quickly. Document Thoroughly: Keep accurate and detailed records of all communications, decisions, and actions to maintain clarity and avoid misunderstandings.

A simple mobile application like calendar can be handy while working with a team and maintaining the records. In patient care electronic health records are a great way to not only keep the information stored but also for sharing the same information flawlessly across a team or outside too. Available resources on mobile and or computer platform should be employed and the staff must be encouraged to use the same to update their status so that deadlines can be met in time. Alarms can be set up for different tasks and the technological advances can be used to create this so that, everyone is attentive and productive.

Technology in the Operating room is sometimes convoluted because not all centers have the same manufacturer and sometimes the systems are older and don’t always work with each other well. Technology for the OR does not evolve as quickly as with the technology for the civil side. Yet, imagine working with a computer and monitor from 2015? Updating is expensive and with the budgets trimmed for buying new equipment slashed, it can hinder and slow down a surgical procedure. In some larger Hospital systems who have a larger budget for Technology Upgrades it becomes an easier and more fluid surgery.

Time is never on our side these days in health care, especially if the organization is facing a “turnaround situation” where you are trying to overcome issues that have contributed to challenges for years. Physicians don’t always know along on the background that led to the problems, but they are acutely aware of how it impacts them and their patients everyday and they just want it fixed. In my experience you delegate to people who have direct accountability over certain issues and support them to be successful. One of the biggest barriers is when others on the team don’t support the person you have delegated to and/or are confused about the accountability that they jav. Team work is all about trust and faith on each other. When we are working as a team, the responsibility should be shared not just equally but in a manner that which can be effectively bring about the right results. As a team leader in health care, you must be aware of the positive qualities of each member and accordingly they can be entrusted to do the job. This way the burden of work on any one person can be minimised while utilising the experiences of someone else, who is more efficient. All this can be done if the team leader has a positive and charming attitude. Delegation of works not necessarily cause stress but in a friendly and amiable environment can be achieved with much care.

Even the title of this somehow rubs me the wrong way “ delegate wisely”. I get what is meant is to ensure the person we are delegating to has the capacity or has the capacity to grow the skill needed. Too often we delegate only to certain people. How do others get this skill. Delegation can be used to mentor. Not micromanage. It may be a stretch for them, if they are faltering is it their fault or is it vague goals and unclear end points. Maybe the wisely is knowing your team and what they can be capable of. Also you can’t avoid the human component. Many people are under different stresses from home or family. While we may not be privy to it, make is safe for people to pass on something this time.

Like I said earlier, when delegating duties we put into consideration the strength and weakness of each individual because everyone is different and uniquely capable of doing things, this prevents delays.

Staying adaptable is what set us humans apart from the rest of the animal kingdom. It is also what allows some people to be better at their specialty than others. Case in point is older vs. younger surgeons. While older are more experienced, younger are more technologically savvy. Almost every surgeon is an expert in Laparoscopic surgery, yet there is a huge difference as to how quick and nimble the younger surgeons are in Robotic Surgery.

Be flexible or ready for change, that’s why we’re humans. We have to be ready to flow with the changes of strategy and schedule at our work place

In my role as a gerontologist and social scientist, adaptability has been key to managing the unpredictable nature of healthcare environments, especially when working alongside physicians. This is one of the most overlooked factors in multitasking as if for a physician not everything is urgent. Since majority of the decisions needed to take are high stakes-high impact (be it patient or admin$), MENTAL CLARITY to focus is an ultimate skill we need to sharpen to survive and thrive in this sphere. Meditation pre/post-work, ensuring compartmentalization while at work (no or mininum allowable bandwidth for internal baggages). The younger gen has a knack of bringing their WHOLE SELVES to work, for authenticity or presence. Don't forget that a medical vocation has a military-like discipline in that during battle we can't be emotional or lose focus. Again, be reminded that medical work is a vocation, a service - the rest follows.

If there is one principle that I truly embodied on a day-to-day basis while I were dealing with fast-paced individuals is that i always give myself time to “exhale” and recenter before going into the frontline. For some individuals, such as myself, I put self-care first, before jumping into any tasks. By doing so, It allows me to start a project happy - happy in such a way that I am not regretting/thinking about past decisions I made from the last project I had. I get to detach myself first from the last tasks I had.

From my experience managing complex projects and collaborating with multidisciplinary teams, including physicians, I’ve learned that balancing multiple deadlines requires not just effective time management, but also a strong commitment to self-care. Utilizing motivational interviewing techniques, such as supporting self-efficacy, I prioritize stress-reduction practices and maintain a healthy work-life balance to stay resilient in high-pressure environments. By taking care of myself, I ensure that I can consistently perform at my best, manage deadlines effectively, and contribute to a collaborative atmosphere where everyone, including physicians, can thrive.
