Your manager has given you a new project. How can you ensure its success?

Its is important to gain full clarity of the project to be done at hand as the first step to the project. Planning and getting clarity will reduce execution time by a very considerable amount because all tasks are assigned and have clear target or expectations of what is expected. This will help reduce errors in the work that will be done by your team. In my experience you need clarity first and to have an agreement of what expectations you need to give and at what time. These help to prioritize task or project tasks that are urgent and important by scheduling them. You find that projects that don't have clear goals or objectives are full of errors or omissions and are always operating on crisis management which cause staff burnout.

The success of project depends on team and not on individual hence the first and foremost is to identify the core unit, set tangible goals and create a culture which will yield results as expected and within defined budget and timelines.

As a software engineering manager, I've found that ensuring the success of a new project involves three key steps: - Define the scope: Clearly outlining the project's objectives, deliverables, and constraints helps me analyze requirements, design the architecture, and assemble the right team for the job. - Communicate effectively: Regular, open communication with stakeholders, team members, and management ensures everyone is aligned on goals, progress, and potential challenges. - Monitor and adapt: Continuously tracking the project's progress, identifying risks, and making necessary adjustments helps me keep the project on track and deliver a successful outcome.

É importante obter total clareza do projeto a ser feito em mãos como o primeiro passo para o projeto. Planejar e obter clareza reduzirá o tempo de execução em uma quantidade muito considerável, porque todas as tarefas são atribuídas e têm alvo claro ou expectativas do que é esperado. Na minha experiência, você precisa de clareza primeiro e ter um acordo de quais expectativas você precisa dar e em que momento. Eles ajudam a priorizar tarefas ou projetos que são urgentes e importantes, agendando-as. Você descobre que projetos que não têm metas ou objetivos claros estão cheios de erros ou omissões e estão sempre operando na gestão de crises que causam desgaste da equipe.

Desde el primer minuto hay que tener una visión muy clara de cual es el alcance del proyecto, cual es el objetivo a alcanzar, que se espera del proyecto, de que punto partimos y a donde tenemos que llegar, que medios, tiempo y personal necesitamos para eso y de cuales disponemos y/o los que podremos conseguir. Un buen análisis de arranque, con datos fiables y metas claras, nos servirá para planificar las etapas, gestionar tiempos, medios, personal y asignar tareas , QQCCDPP(Qué, Quién, Como, Cuando, Donde y Porqué ) teniendo claro el horizonte marcado como objetivo, lo cual debe ser expuesto al equipo siempre que sea necesario, sin lagunas de información, con comunicación abierta, bidireccional y totalmente transparente.

A Project team will do well to have people who are fully committed to the tasks and are subject matter experts in their assigned roles. They should be able to communicate clearly and concisely on the requirements. Because there is a lot of exchange of information and collaboration between those carrying out actual development and members of the team (where the actual development is done by a separate team such as in a software development), proficiency, commitment and good communication is key for the team to have.

To ensure the success of a new project, I would start by clearly defining goals and delegating tasks effectively. 📝 As a People Manager, I would foster a collaborative environment where team members feel empowered to contribute their ideas and expertise. 🤝 Implementing a "buddy system" where team members pair up to support each other and share knowledge can enhance productivity and morale. 💪 Embracing emerging technologies such as AI-powered project management tools 🤖 can streamline workflows and improve efficiency, driving project success. 🚀

In assembling the team, you need to look for the right fit to work with you. You might need to coopt other staff members from other departments, hire or even get volunteers and Interns to get the work done.

A partir de un Alcance preciso, que no deje dudas en cuanto los objetivos y resultados pretendidos, podremos determinar los posibles riesgos que surjan en las diferentes etapas del proyecto. Dicho análisis brindará las herramientas necesarias para estimar las probabilidades de riesgos y las acciones de mitigación a adoptar, en tiempo y forma, en caso de ocurrencia.

Resolver conflictos no es tarea fácil , sobretodo si surgen en momentos claves de cualquier proyecto, digamos que hay muchas posibilidades de que aparezcan, cansancio, opiniones divergentes, falta de empatía, de respeto, de oportunidades, información deficiente o sesgada, celos, y un largo etc. Es importante dejar claro desde el principio que en cualquier equipo la colaboración, el compromiso y la mentalidad positiva y receptiva son fundamentales porque el éxito o el fracaso dependen del trabajo colectivo. Conocer al equipo de antemano ayudará a gestionar las diferencias, procurando asignar tareas de forma equitativa, priorizando buscar soluciones y no culpables, estimulando las aportaciones y dando reconocimiento. El dialogo ante todo.

Los estados de ánimo y emociones de los miembros que conforman el equipo suelen variar durante los ciclos del proyecto. Por tal motivo, es necesario asegurar la comunicación fluida, basada en el respeto y la tolerancia. No deben desestimarse las diferentes opiniones dentro del equipo, si surgen conflictos es oportuno que cada parte pueda expresar su punto de vista a fin de evitar que la situación escale y poder determinar cual es la solución mas conveniente para el logro del objetivo planteado.

Identify early on the areas of great changes and document them. It could be changes in business processes which could lead to some processes or people being made redundant. Understanding the ADKAR model in Change Management is also important to ensure positive outcomes. Constant communication to all important stakeholders will ensure that they feel involved and this will minimize resistance that comes with a major change(s). Keep stakeholders updated-Board and Management, Customers, Staff, should have their interests taken into consideration during communication. The Project Manager should address their fears and communicate the benefits to them. Set aside appropriate budget for actions such as (re)training.

Celebrate your team's achievements, laud their efforts whether it's a task completed earlier than anticipated or actual completion of entire Project. Laud their efforts individually and as a team. Having an elaborate launch and awarding them certificates of recognition also goes a long way in motivating them. Recognize anyone who played a role in tge success of the Project whether at the forefront or not. Also recognize stakeholders for their patience and support during the period of change. A 'Lessons Learned' document documents important take outs that the organization can apply for future projects. Also have a repository (virtual or physical) with all Project documents and hand them over to the relevant department.

Confirm understanding of the project goals and expected outcomes with your manager. Develop a detailed project plan including milestones, deadlines, and required resources. Select team members with the skills and experience necessary to achieve project goals. Maintain open lines of communication with your team and stakeholders to address issues promptly. Regularly review project progress against goals and adjust plans as needed to stay on track.

En plus des éléments mentionnés, il me semble crucial de définir clairement les objectifs du projet, d'établir des échéanciers réalistes et de communiquer efficacement avec les membres de l'équipe. En outre, la mise en place d'un tableau de bord avec des indicateurs de suivi permettra de surveiller la progression du projet, d'identifier les éventuels écarts par rapport aux objectifs et de prendre des mesures correctives si nécessaire.

In addition to what is mentioned above, I would definitely jot down all the stakeholders or customers of the project. Meet them and ask them what their expectations are to really determine the true meaning of success. Often we have a different definition of success compared to our customers.
