Position summary
The Senior Global Communications Assistant is an integral part of Guttmacher’s Global Communications team, working collaboratively with mid and senior-level staff across the Institute’s Communications & Publications division as well as the International Research and Global Policy teams. This position plays a crucial role in facilitating the efficient operation of the Global Communications team. The selected candidate will be responsible for providing effective project management to enhance workflow, support staff, manage communications, and maintain organizational efficiency, as well as to assist in the creation and dissemination of communications materials across Guttmacher’s various channels, monitoring and documenting the impact of these efforts (including compiling daily media clips), and providing other project support. The successful applicant must possess exceptional organizational skills, proficiency in office technology, and a strong ability to communicate effectively with various stakeholders.
Responsibilities
Administrative support
- Monitor and communicate project timelines and deliverables; collaborate with Global Communications and Communications Operations teams to create project workplans as needed.
- Maintain and organize the team’s project management platform (Asana), filing system (MS SharePoint), journalist lists (Cision), and external partner contact information (Salesforce).
- Coordinate logistics for internal and external meetings and events, including making travel arrangements, reservations, and registrations.
- Prepare and review expense reports, manage partner contracts, track payments, and process invoices.
- Assist staff with travel arrangements, including booking travel and hotels and organizing travel itineraries.
Communications support
- Provide research support by retrieving and synthesizing information from internal and external sources, including previously published Guttmacher materials and relevant news coverage.
- Assist in drafting communications materials in collaboration with senior communications staff and other divisions. These may include social media posts, website updates, newsletter content, and media materials.
- Assist in disseminating communications materials across the Institute’s email lists, website, media contacts, and social media channels.
- Monitor and document media coverage and the impact of the team’s work and communicate these findings to other Guttmacher teams.
Required Skills

- Ability to work independently, take on new and unexpected tasks as circumstances require, and take initiative within the scope of the position.
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
Qualifications
- 2 – 4 years of relevant experience in communications or public relations. Experience in global health, public policy, or other related fields is preferred.
- Experience with project management platforms such as Asana and SharePoint preferred.
- A demonstrated interest in working in the field of sexual and reproductive health and rights globally and/or global health.
- Experience with online communications tools such as MailChimp, Cision, Sprout Social, and Canva, as well as virtual meeting platforms and content management systems like Drupal.
- Proficiency in French or Spanish is a plus.
Salary and benefits
The starting salary for this position is between $63,302.27 to $94,953.41 and will be commensurate with experience. This is a union-represented position. The Guttmacher Institute practices a hybrid work schedule, requiring in-office attendance 8 days per month at our NYC location. The range for this position is specific to New York and DC, but base pay may vary depending on a wide range of factors, including experience, skill sets, and training.
