Job Overview:
We seek a highly organized and adaptable Contract Administrative Assistant to provide temporary coverage for the Executive Assistant , who is currently on maternity leave. This role is essential in ensuring the continuity of high-level administrative support to the executive leadership during the leave period.
The Contract Administrative Assistant will manage day-to-day administrative tasks, including scheduling, communication, document management, and event coordination. The ideal candidate is a proactive and detail-oriented professional, experienced in supporting senior leadership, who can step in seamlessly and maintain the efficiency of the executive office.
Key Responsibilities:
- Calendar & Email Management: Schedule meetings, manage appointments, prioritize emails, and maintain a well-organized calendar for the CEO.
- Communication Support: Draft emails, memos, and other correspondence on behalf of the CEO. Act as a liaison between the CEO and staff, stakeholders, board members, and external partners.
- Meeting Coordination: Organize and prepare for meetings, including sending reminders, preparing agendas, taking detailed meeting minutes, and following up on action items.
- Document Management: Organize, track, and maintain important documents, contracts, and files. Ensure confidentiality of sensitive information.
- Event & Travel Coordination: Arrange travel, accommodations, and event logistics as needed for the CEO’s business engagements.
- Administrative Tasks: Handle general administrative tasks, such as data entry, expense reporting, and procurement support for office supplies or resources.
- Project Assistance: Support the CEO with special projects, conducting research, preparing reports, and assisting with presentations when needed.
- Board of Directors Support: Help schedule and coordinate meetings for the Board of Directors, including distributing materials and keeping accurate records.
Qualifications:
- Proven Experience: Minimum of 3 years of administrative support experience, ideally supporting executives or senior leadership in a nonprofit or similar setting.
- Excellent Communication: Strong verbal and written communication skills, with the ability to communicate clearly and professionally.
- Organized & Detail-Oriented: Able to manage multiple priorities, maintain focus, and meet deadlines in a fast-paced environment.
- Tech-Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint Teams), and experience with marketing and project management tools (e.g., Monday, Trello, social media platforms) is a plus.
- Adaptability: Comfortable working in a dynamic environment with the ability to quickly pivot between tasks and priorities.
