Employee Loan Program
We are a Charitable Organisation in Australia and have recently introduced and Employee Loan Program.
We need a software program - likely Excel but open to options.
This is for an Employee Loan Program we have commenced.
Functionality....
To keep a track of the individual loans and grand totals of the loans.
Calculate repayments based on Loan amount, interest rate and fees to be charged at optional repayment periods such as weekly and fortnightly repayments (our payroll is fortnightly). Also variable repayment of loan period eg month/s to year/s etc.
Allow for extra or one off repayments or even a voluntary regular increase in repayments.
Allow for fees: setup / establishment fees, repayments default fees, loan variation fees, other fees. Some of the fees are known at the beginning and are to be incorporated in the calculated repayments.
Allow for changes in interest rates over the course of the loan.
Allow for additional advances or redraws on the loans.
One page summary for employee of movement and current position like a snapshot of the overall position.
Most (nearly all) of the repayments come from payroll deductions so we would manually enter the repayments (or alternatively if the repayments don't change the schedule of repayments on say the excel spreadsheet may be automatically populated at beginning of the loan and only alterations needed to input). So when we input the repayments that come from the fortnightly payroll this input to be identified and totalled so it can be reconciled to the payroll report.
We need a totals summary page maybe showing the monthly movement (eg Opening balance + interest and fees charged - repayments = Ending balance) for each loan together with the grand totals.
We are getting by with a couple of very amateurish excel spreadsheets at the moment.
We are happy with a simple to use and robust excel spreadsheet / program with some potential for adaption going forward if we come across additional or changing needs.
At this stage it is internal and not like a website where our employees can go and input things and figure out loan options etc.
We want to limit that to our finance management personnel.
If done in excel we think that good modifications can be easily made and some non-important on the fly fixes we may be able to cope with. But more likely for future changes we would want to maintain the relationship. It is also a possibility that we want to protect the IP etc with some restrictions on use eg a simple password to operate but we are very limited in our knowledge of exactly how to proceed and what exactly to ask for....so open to suggestions and guidance.
