Project Overview:
We need an experienced Excel developer to create a workbook for managing projects, tasks, and work orders, with automation features like email notifications and dynamic dashboards. The workbook should be easy to use and compatible with Excel 365 for sharing and collaboration.
Key Features:
1. Master Project Template:
• A template for setting up new projects, which automatically updates a master tracking log with project details.
2. Task Tracking & Automated Notifications:
• Track tasks with start/end dates.
• Automated email notifications:
• 2 days before a task is due, the day it’s due, and 2 days after the due date (until marked as “Completed” or “Approved”).
• Notifications for vendors or subcontractors when their tasks are approaching deadlines.
3. Dashboard:
• Dynamic dashboard showing task status, percentage complete, and a 2-week lookahead of tasks.
• Visual representation (e.g., pie chart) of project status.
4. Work Order Request System:
• A template for requesting work orders.
• Work order requests are logged in a separate sheet and cleared upon submission.
5. Quote Request & Vendor Sheets:
• A sheet for quote requests and one for vendor information (with hyperlinks for email communication).
• Ability to notify vendors when their tasks are approaching deadlines.
6. Weekly Reminders:
• Email reminders to check the status of work orders assigned to others.
Additional Suggestions:
• Automated Task Status Updates: Consider adding a feature where tasks automatically update their status based on the dates and progress tracked in the sheet (e.g., “In Progress,” “Delayed,” “Completed”).
