Job Title: Virtual Real Estate Administration Expert - CRM & Marketing Specialist (Lofty/Chime)
Location: Remote (Must be available to work during Pacific Standard Time zone hours)
Job Description:
We are seeking a proactive and highly organized Virtual Real Estate Administration Expert with specialized experience in managing Lofty / Chime CRM system in Canada.
This is a remote position designed for an individual who thrives in a virtual environment, yet remains highly collaborative and responsive. approx 20 -30 hr per week.
As part of our team, you will play a pivotal role in streamlining CRM operations, managing marketing and follow-up campaigns, and ensuring that client interactions are professional, timely, and impactful.
Key Responsibilities:
CRM Management: Utilize Lofty and Chime to manage contacts, update databases, and maintain accuracy and data integrity.
Campaign Creation & Management: Set up, manage, and run marketing and follow-up campaigns designed to generate leads, nurture prospects, and convert leads into clients.
Contact Entry & Organization: Efficiently enter and categorize new contacts, ensuring information is accurate and up-to-date.
Assign leads to agents, follow up with agents and ensure their communication with the prospects is both timely and consistent, and maintain client records with the agents, the CRM as required.
Work with the team leader and agents to prepare and ensure delivery of materials, reports, evanuations, guides, faq's as directed by the agents and or team lead.
Assist agents with transactional record keeping between real estate brokerage and the agent(s) and team lead, while maintaining records and documentation related to agent referrals and finances.
Responding to Inquiries: Act as the first point of contact by responding to initial client inquiries, providing high-quality service and initial lead qualification. (by email, sms and or chat)
Marketing Material Creation: Develop, create, and distribute customized marketing materials, including seasonal campaigns, digital newsletters, and promotional content.
Follow-Up: Implement structured follow-up protocols for leads, clients, and campaigns using various communication channels (email, chat, sms, etc.).
Data Analysis & Reporting: Track and analyze campaign results, generate reports, and provide recommendations for improvement based on performance data.
Content & Social Media Support: Assist with content development and social media engagement as needed to support marketing initiatives.
Qualifications:
Proven experience working remotely, with a reliable home office setup and the essentia ability to work during Pacific Standard Time zone hours.
Expertise in Lofty, Chime, CRM systems used within the Canadian real estate industry.
Experience with Skyslope (transaction management system).
Experience working with eXp Realty agents and their operational systems
Strong organizational and administrative skills, with a keen eye for detail.
Exceptional communication skills, both verbal and written.
Experience in creating and managing marketing campaigns, preferably within a Canadian real estate context.
Proficiency in digital marketing, content creation, and social media engagement.
Self-motivated, proactive problem-solver with the ability to manage multiple tasks effectively.
Prior experience in real estate administrative support is highly preferred.
