We are a dynamic media company seeking an experienced professional to analyze, strategize, and implement a comprehensive workflow automation system within 2 weeks. This includes choosing and setting up a CRM, integrating tools, ensuring data security, and automating repetitive tasks for seamless operations.
Key Objectives:
Email Hosting:
Analyze our current email setup on Zoho.
Migrate to a better platform if necessary (e.g., Google Workspace, Microsoft 365).
CRM Setup and Integration:
Recommend and implement a CRM system tailored for a media company.
CRM should include:
Business card scanning directly into the system.
Segmented data for newsletters and marketing campaigns.
Automation of workflows (e.g., booking orders, quotations, event reports).
Integration with website forms for lead generation.
Magazine publishing workflows, including approval queues.
Workflow Automation:
Automate repetitive tasks such as integrating forms with the CRM, generating reports, and sending client updates.
Set up marketing campaigns and segmented newsletters.
Ensure minimal customization and a plug-and-play solution.
Data Security:
Set up measures to restrict CRM access outside the office (e.g., IP whitelisting, VPN).
Disable data downloads or exports for team members while maintaining usability.
Cost Efficiency and Scalability:
Use cost-effective tools that are scalable and require minimal manual intervention.
Recommend and implement tools with quick setup and robust features.
Deliverables:
A fully operational CRM system integrated with our websites, email hosting, and marketing tools.
Automated workflows for client reporting, order booking, and data segmentation.
Migration of current data to the new system (if required).
Implemented security protocols to restrict unauthorized access.
Training for the team on the new system.
Qualifications:
Proven experience with CRM systems (e.g., HubSpot, Zoho, Salesforce) and workflow automation.
Expertise in email hosting migration and integration.
Strong knowledge of data security and access controls.
Ability to deliver within tight deadlines.
Previous experience working with media companies is a plus.
