### Job Description: Podcast Scheduling and Guest Outreach Coordinator
**Position Overview:**
We are seeking a detail-oriented and proactive Podcast Scheduling and Guest Outreach Coordinator to manage the integration of Bookly for podcast bookings and facilitate guest outreach for upcoming episodes. This role will involve setting up the Bookly system, ensuring seamless scheduling for podcast interviews, and conducting outreach to secure high-quality guests.

### **Key Responsibilities:**
#### 1. **Bookly Setup and Management**
- **Initial Setup:**
- Configure Bookly to align with podcast scheduling needs, including:
- Available time slots: Monday, Tuesday, Wednesday, 9:00 AM - 2:00 PM CST.
- Exclude blackout dates: December 23rd to January 1st, and January 16th to 30th.
- Integrate Restream links into booking confirmations and reminders.
- Customize email notifications:
- Immediate booking confirmation with interview details and Restream link.
- Reminders sent 24 hours and 1 hour before the scheduled interview.
- **Ongoing Maintenance:**
- Monitor and update time slots or blackout dates as needed.
- Troubleshoot any scheduling conflicts or technical issues.
#### 2. **Guest Outreach and Coordination**
- **Research Potential Guests:**
- Use provided sources (e.g., Performing Hypnosis Summit list) to identify and prioritize potential guests.
- Maintain a database of potential guests, including contact information and outreach status.
- **Guest Communication:**
- Send personalized outreach emails, including an invitation to book an interview via the Bookly link.
- Respond to inquiries or concerns from potential guests promptly and professionally.
- **Scheduling Support:**
- Guide guests through the booking process if needed.
- Confirm all guest information and ensure it aligns with Bookly entries (name, email, topic).
#### 3. **Pre-Interview Preparation**
- Provide guests with:
- Podcast format and agenda.
- Technical setup instructions for Restream.
- Key talking points or any additional requirements.
#### 4. **Post-Interview Follow-Up**
- Send thank-you emails and gather feedback from guests.
- Update the guest database with completed interviews and notes for future collaborations.
