Building an Archive system

Hello, my name is Monder Me and my team are a start-up company and when are currently in need of an archiving system because we want to save and keep our company corresponds with other companies or the inside departments from being lost. -The a system which can handle the OCR technology and must be an offline system which doesn't need an internet connection to function (Just a local server ). -The system must at least can handle 2 languages Arabic and English, also must have full user control meaning users have different privileges ( saving letters, editing them, deleting them, etc.). -The system also must contain some auditing functionality ( which user did what and when). -The system must have the ability to also store a photo copy of the letter which the OCR function already handled and sometimes a letter contains many pages. -The system must handle the text in the letter in a way which it doesn't just save all the text without separating some information in the letter, for example each letter has a date written in it and a source ( the company who sent it to us or the internal department name) and a destination ( when we as a company send the letter to other companies or the sender department) and the subject of the letter ( the title if you may ) and the letter ID number which in some cases is written by hand ( this also applies for the date of the letter) . -The system must allow the user to edit the content of the letter before saving them ( in case of an error in THE OCR technology ). -The system must allow the ability to search for the saved letters using any of the mentioned requirements ( ID, date, subject, information in the body of the letter or the user who saved it ) -The system must have the ability to generate all kinds of reports about the saved letters ( how many sent or received, from who , when, who saved, edited, deleted them, Using the system we can tell how many departments received which letter , etc.) - The system must provide the ability to be modified ( the logos, names ,etc.) -The system MUST provide a redundancy meaning backup servers and a backup of the data Finally the system will be running on windows PC'S and the servers are also windows servers. #Notes: Just to make it clear the system will be using ADF Scanners. And each letter will have searchable notes field
