1. Student writes a letter of postponement.(POS,PEX)
2. He sends it to HOD.
3. HOD verifies and sends it to dean of school.
4. Dean of school verifies and sends it to principal.
5. After the principal verifies and approves/reject he sends the letter of approval/rejection to dean of school.
6. Dean of school approves/rejects and then sends it back to HOD.
7. Then the student gets back the results of approval/rejection inform of letter from HOD.

In case of any urgent emergency, it takes time for students to reach the HOD because most of the time the HODs are busy and it may take more than a day to get to them. Also both students and HODs must be physically present at the college for the process to take place. This is time consuming.

1. To create an online system which will ensure flexibility to all actors in the system since students can process the request anywhere and also the staffs can approve/reject anywhere they are.
2. It will help to track the whereabouts of the students so as to remove problems of loosing letters and assuming that the student is disqualified to continue with studies.
3. In case there is an urgent situation and a student must go home then it is easier for him to do the process on the way without going to the office searching for the staff to approve his request, he can just do it on the way as long as there is internet connectivity.
