What you need to know about student compliance

All OHSU School of Nursing students must provide documentation upon completing their immunization and compliance records as identified in the Student Compliance and Drug Screening policy 50-01.15 and the OHSU Student Health Service pre-entry guidelines 02-01.001. Review the following steps to complete these requirements by the stated deadline. 

New students are given access to their OHSU accounts, Compass and network IDs around 60 days before their start date. 

Students MUST complete ALL requirements before their compliance deadline. At the start of the term and throughout your program, if you are non-compliant within Exxat, you may be pulled from clinical and a hold will be placed on your student account preventing you from registering for future courses.

If Student Health and Wellness Immunization requirements are not completed by 14 days after matriculation, a $95 fee will be charged. If you are still not compliant with these requirements within 30 days after matriculation, a hold will be placed on your student account that will suspend your student status and prevent you from registering and attending classes.  
 

Steps to compliance

Exxat is a clinical placement and compliance tracking platform. Your clinical placement information, rotations and compliance items will be tracked through Exxat.  You will receive an Exxat log-in welcome email (sent to your OHSU account) to set up your account 60 days before starting the term. Make sure to keep your Exxat profile information up-to-date via the Exxat log-in page.

CPR Certification:  

  • CPR Certification The School of Nursing only accepts CPR certifications issued by the American Heart Association (AHA). It is the student’s responsibility to always maintain an active CPR certification. If your CPR certification expires, you will be pulled from your clinical and unable to return until you renew your certification.

RN License: 

  • RN to BS and graduate students will need to upload their proof of current RN license into their Exxat account before the compliance deadline. 
    • Note: Oregon license is required for the following programs: 
      • RN to BS 
      • D.N.P. - AGACNP 
      • D.N.P. - PNP
      • D.N.P. - FNP 
      • D.N.P. - CRNA 
      • D.N.P. - Nurse-Midwifery 
      • D.N.P. - PMHNP
      • HSOL 

Criminal history may impact future nursing licensure and a student's ability to progress through their designated nursing program.  Please review the Background Check Disclosure form below and submit the signature form as part of your incoming compliance materials. 

As a reminder, new students will not have access to their Exxat account until 60 days before starting their program. Students will receive a welcome email when they have been granted access. 

These requirements are meant to provide a safe environment for students, employees and patients at OHSU and participating clinical and research training sites. All new students must complete an Immunization Status Form and submit it to SHWCompliance@ohsu.edu.   

SHW New Student Information

Your Immunization Status Form and supporting documentation should be turned in as soon as possible ahead of your program start date to allow for an ample amount of processing time.

  • Medical Equipment Safety  
  • Sexual Assault Prevention for Graduates *Required for ALL Students
  • Simulation Operations in the age of COVID-19- *not required for RN to BS students
  • Any additional trainings that may be assigned by OHSU and School of Nursing

All training modules need to be completed by the compliance deadline. 

New matriculating students, please note: According to Oregon Administrative Rules policies (OAR-409-030-0220 background checks; OAR-409-030-0210 drug testing),  new students cannot complete a background check and drug screen more than 90 days before their educational term begins. 

Students will receive an email from automation@instascreen.net around 45 days before starting the program. You will need to complete the requested information in that email to become compliant for the Oregon Health Administrative Rules (OAR) background check and drug screen policies. You must request a copy of the background check and drug screen results for your personal records. If you need to request a closer collection site for the drug screen, you must reach out to Advanced Reporting directly for assistance.

All applicants are offered conditional admission until they complete compliance requirements, including clearing a background check and drug screen. If a student fails a pre-matriculation drug screen, admission to the program will be revoked. This is defined in OHSU Policy 02-01-003 Student Drug and Alcohol Testing

New students have 7 days to start the background check process, and 21 days to complete a drug screen from the day you receive the order request email from Advanced Reporting.  

All School of Nursing students need to have an ID badge. These are the required items: 

  • Cleared background check  
  • Cleared drug screen 
  • Compass modules 
  • Submitted Immunization Status Form to shwcompliance@ohsu.edu  

The above items are due no later than the compliance deadline.
