Job Description:
As a Receptionist at XTalk Prep Consultants, you will be responsible for managing the front desk, greeting visitors, and providing administrative support to our team. The ideal candidate is professional, organized, and enjoys interacting with people, ensuring a positive first impression for all who visit the office.
Key Responsibilities
Duties and Responsibilities:
- Greet and welcome visitors, clients, and vendors in a friendly and professional manner.
- Answer and direct phone calls to appropriate departments or individuals.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain a tidy and welcoming reception area.
- Schedule and coordinate meetings and appointments as necessary.
- Assist with administrative tasks, such as data entry, filing, and ordering office supplies.
- Provide general information to visitors and callers about the company and its services.
- Support other departments with miscellaneous administrative tasks as needed.
Required Skills & Abilities:
- High school diploma or equivalent; additional certification in Office Administration is a plus.
- Proven experience as a receptionist, front desk representative, or similar role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office (Word, Excel, Outlook) and office equipment (e.g., printers, scanners, fax machines).
- Ability to handle confidential information with discretion.
- Friendly, professional, and customer-service oriented.
