Administrative Assistant Responsibilities

Answering Phones and Voicemails:

  • Provide exceptional customer service by answering the agency’s main phone line and transferring calls to the appropriate staff using the agency’s contact listing.
  • Check the admin email inbox for voicemail messages and forward them to the relevant staff.

Guests, Visitors, And Security

  • Greet guests and visitors warmly, assist them, and direct them to the appropriate staff or department.
  • Monitor lobby cameras for foot traffic and identify any suspicious visitors.

Maintaining Contact Listings And Deliveries

  • Keep an updated contact listing for the agency and important numbers.
  • Notify relevant contacts of any FedEx or UPS deliveries received at the front desk.

Facilities And Operations Support

  • Manage three copy rooms by stocking them with paper and office supplies and ensuring the copy machines are functional.
  • Scan old paper files into an online electronic software system for easy access and organization.
  • Validate garage parking tickets when required through an online electronic software system.
  • Submit maintenance requests through an online portal for any maintenance needs in our IDHS area.

Conference Room Management

  • Maintain and update reservations for IDHS conference rooms using the Outlook Calendar system.

Potential Additional Duties

  • Support administrative and agency staff with event coordination.
  • Learn and manage the State of Indiana’s conference center room reservation system and work on special requests with IDOA.
  • Handle office supply orders from Office Depot and breakroom supplies from Fastenal using Excel spreadsheets for procurement purposes.
