Front Desk / Office Manager

Position Overview: We are seeking a highly organized and customer-focused individual to join our team as a Front Desk Office Manager. The ideal candidate will be responsible for overseeing the front desk operations, ensuring efficient patient check-in and check-out processes, and providing exceptional customer service. The individual must have excellent organizational skills, strong attention to detail, and the ability to multitask in a fast-paced medical office environment.

Key Responsibilities

  • Front Desk Management:
  • Supervise and coordinate the day-to-day activities of the front desk, ensuring a smooth patient flow.
  • Greet and assist patients in a friendly and professional manner.
  • Manage appointment scheduling, cancellations, and rescheduling efficiently.
  • Customer Service:
  • Provide excellent customer service to patients, addressing inquiries, concerns, and requests promptly and courteously.
  • Ensure a positive and welcoming experience for patients from check-in to check-out.
  • Handle patient complaints or issues with empathy and professionalism.
  • Insurance Processing:
  • Utilize knowledge of medical insurance procedures to verify patient insurance coverage.
  • Assist patients with insurance-related inquiries and educate them on billing processes.
  • Collaborate with billing department to ensure accurate and timely submission of insurance claims.
  • Administrative Support:
  • Maintain and update patient records accurately.
  • Coordinate and manage office supplies, ensuring availability for day-to-day operations.
  • Assist in training and onboarding front desk staff as needed.

Qualifications

  • Education and Experience:
  • High school diploma or equivalent; additional education in healthcare administration is a plus.
  • Proven experience in a medical office setting with a focus on front desk management.
  • Skills:
  • Excellent customer service and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in using medical office software and scheduling systems.
  • Knowledge of insurance verification and claims processing is highly desirable.
  • Communication:
  • Clear and effective communication skills, both verbal and written.
  • Ability to communicate with patients, staff, and medical professionals in a professional manner.
  • Team Player:
  • Ability to work collaboratively in a team-oriented environment.
  • Willingness to assist in various tasks to ensure the smooth operation of the medical office.
