The Executive Assistant performs administrative functions in support of the Executive Leadership team.This position will assume key administrative, organizational, and communication functions to enable key members of the leadership team to perform at the highest level.This position is responsible for handling confidential information, maintaining professionalism, managing multiple complex calendars, planning events and travel, day-to-day meeting and presentation organization, preparing expense reports and purchase orders, updating organizational charts, and providing support to a large diverse team of people with a variety of communication styles.This position requires an individual who maintains integrity and establishes credibility quickly.The Executive Assistant listens, creates strong relationships cross-functionally, takes responsibility for their own learning and continuous improvement, and cares about the result.

Specific Responsibilities

Calendar Management

  • Provide strategic calendar management support to the President and HR Director. Including external customer and associate engagements.Understand the rhythm of business in line with recognized patterns, proactively plans schedules around the leaders needs and preferences.
  • Coordinate and schedule meetings, conferences and departmental activities when required. Attending top team and strategic planning meetings, create and distribute meeting minutes and action items.
  • Maintain the corporate calendar, updating key occurrences for the company and functional areas.
  • Own the coordination, logistics, and direction for events. Act as a point of contact for events. Collaborate and coordinate with stakeholders to set up events, as needed, and manages business relationships end-to-end. Collaborate with leaders in assisting with content & presenters.


Travel Management

  • Initiate and organize travel arrangements for the President, and key leaders (accommodations, transportation, security, group codes, etc).
  • Create detailed itineraries/agendas for daily activities by building agenda and setting and managing travel expectations to maximize trip productivity.


Communications

  • Exercise sound judgment, tact, integrity, and professionalism in all transactions while maintaining confidentiality of highly sensitive material and information with discretion and professionalism.
  • Types and designs correspondences, memos, charts, tables, graphs, business plans, etc., to include preparation and editing of Authorized Corporate Transactions. Proofreads copy for grammar, spelling and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Organizes and prioritizes large volumes of information and calls. Sorts and distributes mails, drafts written responses or replies by phone or email when necessary. Responds to regularly reoccurring request of information.
  • Coordinates communications for the organization in key areas, organizational updates and announcements, quarterly All Hands communication meeting and presentations and collateral for meetings.
  • Act as liaison with K&B businesses and outside business contacts, including high level staff such as C-level executives, Presidents and Directors. Handles confidential and non-routine information and explains policies when necessary.
  • Records important milestones, recognition, and events for internal communications on Kohler Now, Kohler Leadership Meetings, LinkedIn and other relevant platforms.


Project Management

  • Balance multiple projects end to end with varying deadlines, while maintaining operational responsibilities across business groups as applicable. Take accountability for project outcomes and drives accountability through consistent communication.
  • Financial Support
  • Assist with the maintenance of expense reporting for the President and key leaders, to include organizing and submitting expense reports, reviewing submitted expenses.
  • Provide updated financial performance information to the President, including monthly sales achievement by business.


Special Projects

  • Work independently and within teams on special nonrecurring and ongoing projects. Act as a project manager for special projects, at the request of the President, Luxury Brands, which may include: planning and coordinating multiple presentations, disseminating information and coordinating direct mailings.


Skills/Requirements

  • The successful candidate for this role will have 3+ years of experience of senior level leadership support.
  • Experience prioritizing multiple assignments with minimal guidance, meeting deadlines, and informing team members with detailed attention and accuracy in all deliverables.
  • An associate’s degree is preferred, with a focus in Business Administration or related discipline.
  • Individual must be self-motivated and capable of working independently, with strong abilities to multi-task and prioritize.
  • Must have strong communication skills, including proven skills in designing presentations.
  • This role requires high proficiency with Microsoft Office, including Outlook, Word, Excel and PowerPoint.

The hourly range for this position is $33.80 - $42.25. The specific hourly rate offered to a candidate may be influenced by a variety of factors including the candidate’s experience, their education, and the work location. Available benefits include medical, dental, vision & 401k.
