Responsibilities

PRIMARY FUNCTION :

This position is responsible for coordinating the required family medicine 3 rd year clerkship; the 4 th year family medicine inpatient and outpatient sub-internships; and 4 th year electives in family medicine for Jefferson students and students from other institutions. The Family Medicine Education Coordinator is responsible for multiple student programs: The Family Medicine Interest Group, the Physician Shortage Area Program, the Jeff BEACON Program, and the Bridging The Gaps Program. The Education Coordinator is also responsible for managing the UME program budget and assisting with the administrative support needs of the UME program directors and other family medicine teaching faculty.

ESSENTIAL FUNCTIONS:

  • Develop, implement, and coordinate Medical Student Curriculum for the required Clerkship and rotations (300+ students per year). Includes Course Website Management
  • Develop, Implement, and Coordinate Medical Student Curriculum for Inpatient and Outpatient Sub-Internship rotations (100 students per year). Includes Course Website Management
  • Advise and Coordinate electives in Family Medicine (100 + students per year)
  • Evaluation of Students – collects and administers all feedback in New Innovations. Ensures distribution of evaluations and monitors delinquent evaluations. Tracks assignment completion (to include JeffDOT’s, PELS, Aquifer cases, etc.)
  • Evaluation of Faculty – compose, administer, summarize, and relay faculty performance feedback on both clinical teaching and didactic and orientation presentations
  • Clinical Placements – coordinate all Jefferson students
  • Ensure program’s LCME compliance and reporting for program accreditation
  • General Office/Admin Support – to include scheduling meetings, assisting with travel request, conference registration, reimbursement and other budget related items)
  • Interacts with co-workers, visitors, and other staff consistent with the core values of the University.

OTHER FUNCTIONS AND COMPETENCIES needed in addition to Essential Functions:

  • Serves as an initial point of contact in communicating/advising students regarding academic policies, procedures, scheduling, and general problem-solving
  • Ensures all information on department’s UME Canvas learning management system is current (i.e. contact information, linkages, reporting instructions, schedules, etc.)
  • Coordination and scheduling of student’s rotations and clinical assignments
  • Coordination and development of grades and evaluations withing required timeframe
  • Clinical Placements – coordinate all Jefferson students
  • Community Placements coordinate all Jefferson students
  • Didactic Curriculum – plan all conferences and orientations
  • Affiliate Liaison – communicate with affiliate faculty and coordinators
  • Community Liaison – maintain relationships with community provides and place students
  • Family Medicine Interest Group Liaison – support all activities, ensure faculty participation and exposure, coordinate clinical observations, maintain family medicine faculty interest database, maintain blackboard organization site
  • Student Advising regarding scheduling and personal and career decisions
  • Maintains roster database, handles room reservations, communications with the registrar, audiovisual needs, presentation materials, and recording and archiving grades
  • Administer Clerkship Exam (computer-based)
  • Longitudinal Program Implementation and Evaluation
  • General office support – answering the door and phones, handling mail, assisting with the preparation of reports, presentations, orientation materials and special projects as needed by the medical education team.

Qualifications

EDUCATIONAL/TRAINING REQUIREMENTS: Bachelor’s Required, Master preferred.EXPERIENCE REQUIREMENTS: Experience in an education setting, working with students OR significant administrative assistant experience preferred.

Conditions of Employment

Since this position will require the selected candidate to engage in regular contact with children in the form of care, guidance, supervision or training, you will be required to meet the requirements of the Child Protective Services Act, including the Pennsylvania State Police criminal background check, the Pennsylvania Department of Welfare child abuse criminal background clearance, and an FBI finger print based federal criminal records check. The selected candidate will not be allowed to commence working until all three (3) are completed satisfactorily.
