Description Of Duties/Essential Functions

The Houston Parks and Recreation Department is dedicated to building a sustainable community and enhancing the quality of urban life by providing safe well-maintained parks and offering affordable programming for our community. To achieve this mission, HPARD is seeking an Administrative Assistant to join its Recreation & Wellness Administration.

The Potential Candidate Will Perform The Following Duties

  • Performs varied professional and administrative functions and provides strong administrative support to the Deputy Director.
  • Assists Division Managers in managing multiple competing priorities in an extremely fast-paced environment, while moving forward to achieve short and long-term strategic goals.
  • Prepares and edits communication (e.g., memos, agendas, letters, presentations, etc.) to ensure accuracy and consistency of message and delivery is attended.
  • Receive and handle incoming calls, and forward messages to the appropriate division/section.
  • Provide responses, diffuse the situation determines required actions, and follow up accordingly with appropriate individuals for resolution.
  • Ensure callers are treated professionally.
  • Maintain Deputy Director’s Office and departmental files and records.
  • Log in, track and routes incoming correspondence and documents for the Deputy Director’s signatures.
  • Manage conference room reservations for all the conference rooms at the Wheeler Office Building.
  • Assist with managing the Deputy Director’s schedule and events to ensure priorities and preferences are accounted for, time is allocated appropriately, and the required information is provided.
  • Builds and maintains a network of relationships to obtain information and assistance as required and to portray a professional office.
  • Handle sensitive information and documents and maintain the confidentiality of departmental matters and issues.
  • Serve as a backup for the division/department and attend meetings.
  • Participate and perform in special projects, committees, and other duties as assigned by the Deputy Director.

WORKING CONDITIONS

The position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions.

Minimum Requirements

EDUCATIONAL REQUIREMENTS

Requires a Bachelor's Degree in Business Administration, Liberal Arts, or a related field.

Experience Requirements

One (1) year of administrative experience is required. Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

PREFERENCES

Preference Will Be Given To Candidates With Experience In An Executive Administrative Capacity To Senior-level Managers And Experience In The Following

  • Demonstrates excellent verbal and written communication skills with experience conveying information to internal and external customers in a clear, focused and concise manner.
  • Proven experience as an administrative assistant to senior-level managers. Experience must include supporting multiple principals in a professional setting where independent decision-making and self-initiative were demonstrated.
  • Demonstrates experience maintaining a calm and professional demeanor when handling demanding situations.
  • Proven experience coordinating multiple projects and assignments simultaneously and completing assigned tasks accurately.
  • Must demonstrate strong attention to detail with excellent organizational skills.
  • Experience handling confidential information and correspondence.
  • Experience working with people of diverse backgrounds.
  • Valid Texas Driver's License preferred.
  • Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.** GENERAL INFORMATION

Factors used in determining the salary offered include the candidate’s qualifications as well as the pay rates of other employees in this classification.
