POSITION: Executive Assistant/Office Manager
LOCATION: New York, NY (in office 4x week)
HOURS: 8:30am – 5:30pm with some flexibility
COMPENSATION: $100-120K DOE + Benefits + Bonus Eligible
BACHELOR’S DEGREE: Required
Our client, an investment advisory firm, is seeking a proactive and detail-oriented Executive Assistant/Office Manager to join their NY-based team. The ideal candidate will be responsible for managing the efficient operations of the NY office, while supporting the Executive team with client and market-facing activities as well assisting with select strategic and marketing communication. The candidate should have excellent interpersonal and communication skills, strong attention to detail, be proactive, highly organized and client-service focused.
Responsibilities of the Executive Assistant/Office Manager:
-Handle a high volume of interaction with high level business leaders and clients in a professional and effective manner.
-Manage correspondence, direct inquiries to the appropriate team members and ensure timely responses.
-Manage New York office operations by ensuring that the cleanliness and organization of the office environment is maintained, including common areas and meeting rooms.
-Maintain office supplies inventory by checking stock levels, anticipating needs, and placing orders.
-Assist in organizing company events, client appreciation and marketing activities.
-Serve as key liaison for visitors, clients and recruits in NY office, organizing all aspects in advance and assisting throughout the visit.
-Support Executive team, including assistance with management reporting and strategic communications, administrative support including calendar coordination, executive committee and firm-wide meetings and events, data base entry for management activities, and support for scheduling and travel arrangements.
-Support for firm finance activities including invoice processing and bill paying.
-Assist with reconciliation of credit card transactions and process reimbursement.
-Ad-hoc projects as required.
Requirements of the Executive Assistant/Office Manager:
-Bachelor’s degree required
-Minimum 3-7 years in an office management or executive assistance role
-Financial services experience highly preferred
-Proficiency with Microsoft Office - Outlook, Excel, Word, PowerPoint
-Demonstrated leadership skills
-Excellent interpersonal and communication skills
-High attention to detail, strong organizational and execution skills
-Independent worker who is proactive and takes initiative.
-Verification of identity, education, prior employment, and references may be required.
