CHF now serves in over 30 countries. Mercy Network church partners continue to expand their reach into new communities, and more families are hearing the hope of the gospel through gospel-centered, relational mercy ministry. CHF has office locations in Los Angeles, California, and Dallas & San Antonio, Texas.

POSITION OVERVIEW:

The EXECUTIVE ASSISTANT provides strategic and tactical support and assistance to the Executive in support of the effective and efficient accomplishment of the Executive's responsibilities and goals. The Executive Assistant serves as the primary point of contact for internal and external constituencies on matters pertaining to the Executive and acts as a liaison between CHF donors and the Executive where applicable. The Executive Assistant represents Children’s Hunger Fund with excellence, professionalism, and integrity.

The Executive Assistant must be creative, flexible, and enjoy working in a mid-to-fast-paced environment that is mission-driven, results-driven, and community-oriented. The position exercises good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

REPORTS TO: Executive Director of Relationship Development

RELATES CLOSELY WITH: Administrative Team; Relationship Development Team, Executive Team, CHF donors

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Completes a broad variety of administrative tasks for the Executive including managing an active master calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed personal and group travel plans, both domestic and international, creating trip itineraries and meeting agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates, and ensures the Executive’s schedule is followed and respected. Provides "gatekeeper" and “gateway" role, creating win-win situations for direct access to the Executive’s time and office.
  • Communicates directly and on behalf of the Executive, with donors, CHF staff, and others, on matters related to Executive’s administration. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response, under direction of the Executive.
  • Follows up on contacts made by the Executive and supports the cultivation of those ongoing relationships.
  • Provides a bridge for smooth communication between the Executive’s office and internal departments; demonstrates leadership to maintain credibility, trust, and support with other Executive Team members.
  • Assists the Executive with managing their weekly meeting schedule, other on- and off-site meetings and retreats, coordinating meeting agendas, and if applicable attending meetings and retreats in a support capacity.
  • Works closely and effectively with the Executive to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Executive updated.
  • Provides leadership to build relationships crucial to the success of the organization, both internally and externally, facilitating strong and effective communication and teamwork.
  • Manages a variety of special projects for the Executive
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Participate in (and contribute to) regular employee and leadership meetings.
  • In conjunction with the other applicable teams, participate in the facilitation and execution of the Executive’s events and other related organizational events which includes attending multi-day events.
  • Facilitate s effective cross-departmental communication and teamwork; participate in Administrative Team meetings, provide recommendations that facilitate teamwork, effectiveness, efficiency, and further the mission of Children’s Hunger Fund.

  • Standard Office Equipment (e.g., telephone, computer workstation, printer, copier, scanner, calculator)


WORK ENVIRONMENT:

  • Primarily: office; Occasionally: warehouse, public venues


PHYSICAL DEMANDS:

  • Occasionally lifts under 50 lbs. (generally up to 25 lbs.)
  • Able to remain in a stationary position, seated or standing, at least 80% of the time
  • Moves around inside the office frequently to access file cabinets and utilize office machinery
  • Constantly operates a computer and other office machinery, such as a copy machine and printer
  • Constantly exchanges accurate information verbally and in writing, including via computer/email/phone


MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, ABILITIES):

  • Confesses Jesus Christ as Lord and Savior, active member of a gospel-centered, Christian local church; demonstrates ongoing growth in Christian maturity.
  • Minimum of bachelor’s degree, or AA, and equivalent combination of education and work experience.
  • Previous experience in administrative support required; executive level administrative support and non-profit experience preferred.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, external partners, and donors.
  • Expert-level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Demonstrated spiritual and emotional maturity.
  • Highly resourceful team player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
  • Trustworthy, with high level of professional discretionary judgment and spiritual discernment.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.

  • Highly proficient with computer skills in MS Office/Teams/Apps and internet research.
  • Ability to quickly learn new software and video conferencing applications.
