About The Role

We are seeking a Document Controls Manager to join our team! This position will support the construction of a Water Treatment Plant located in Gresham, OR. This is a great opportunity to be a part of a historic infrastructure and filtration project and see it through the entire project delivery life cycle, from groundbreaking to closeout.

Essential Functions


  • Oversee and manage the receipt, logging, tracking, and distribution of documents in both electronic and paper formats to ensure comprehensive project record maintenance and accessibility.
  • Lead the development and implementation of periodic status reports to keep executive management informed of project progress and document control activities.
  • Develop and enforce robust document control procedures, ensuring the consistent updating and maintenance of record-keeping databases in line with industry best practices.
  • Identify and resolve complex issues, providing expert advice to leadership and project teams on matters affecting project records, documents, and deliverable products.
  • Collaborate with project teams to proactively address and mitigate documentation issues, promoting project success and ensuring compliance with contractual and regulatory requirements.
  • Continuously refine and enhance document control services in response to evolving technological advancements and client expectations, driving efficiency and innovation.
  • Serve as the central communications hub for project staff by maintaining records, assembling, and distributing documents using advanced tools including Microsoft SharePoint, BlueBeam, CMiC, and others.
  • Provide strategic support to Project Managers in the collection and distribution of data, coordination of team deliverables, and facilitation of stakeholder communications.
  • Lead the preparation of project presentations and reports to clients, ensuring accuracy and alignment with project goals.
  • Foster a safe working environment by adhering to and promoting company health and safety guidelines and policies.
  • Manage administrative tasks, including word processing, answering phones, purchasing equipment, and other project-related activities, as needed, to support project and team efficiency.
  • Mentor and guide junior document control staff, providing training and development opportunities to enhance team performance and capabilities.


Basic Qualifications


  • Bachelor's degree in business, engineering, construction management, or a related field, or an equivalent combination of education, skills, and experience.
  • Minimum of 5-7 years of experience in document management, quality control, information technology, or a related field, with a proven track records of leadership and process improvement.
  • Proficient in document control software such as SharePoint, Adobe software, PowerPoint, FTP sites, and other relevant technologies.
  • Exceptional communication skills, with the ability to convey complex information clearly and effectively to diverse audiences.
  • Strong analytical skills and attention to detail, with the ability to identify trends and implement strategic improvements.
  • Proven ability to lead and motivate teams, manage multiple projects simultaneously, and drive results in a fast-paced environment.
