Position Summary

Reporting to and working closely with the COO/CFO, the Finance & Portfolio Operations Analyst will oversee critical areas of the firm’s data management processes, including systematizing all aspects of the firm’s portfolio and fund management needs, ranging from deal execution to portfolio data collection to investor reporting, and related analytics.


The role will be exposed to many aspects of Activate and have direct interaction with the entire finance and investment teams. Please note this is not an investing role and is not intended to present a career track towards being an investor at Activate.


The Finance & Portfolio Operations Analyst will play a critical role in the following:


Portfolio Management

  • Own the end-to-end portfolio data management process from portfolio financials & KPI collection to input, from completion tracking to quality control, from exporting the aggregated data for various connected workflows to concisely presenting the data for both internal and external use cases
  • Oversee the various data aggregation tools, including the third-party platforms for portfolio monitoring & fund cash flows, ESG metric collection, deal sourcing database, and due diligence/data room Q&A bank
  • Implement and execute best practices for storing portfolio company & fund-level data and for efficiently managing the maintenance, updating, and reporting of data across various workflows and functions of the Firm
  • Work with investment and finance teams to support the quarterly valuation process and investment cash flows management
  • Prepare ad-hoc financial models, analyses and presentations on fund and portfolio company performance for both internal and external use cases


Reporting  

  • Assist with quarterly/annual and ad hoc reporting to limited partners and prospective investors
  • Manage the collection of impact metrics from the portfolio for the firm’s annual sustainability report; liaise with the firm’s third-party data collection providers
  • Aggregate portfolio company and fund/firm data in tables, slides, and charts
  • Respond to investor requests for portfolio company data incl. portfolio company financials & ESG metrics, plus fund-level data
  • Support marketing initiatives for investment announcements across various social means

 

Other

  • Additionally, the analyst will participate in fundraising workstreams such as data room preparation and management, internal/external presentation/document drafting and review, and transactional and operational support
  • Leverage various data sources including PitchBook, Harmonic, LinkedIn, Metric ESG, internal data, and others to conduct research integral to the investment, finance, and fundraising workstreams
  • Continuously look to improve internal systems and processes by building tools and implementing automation wherever possible
  • Other ad hoc duties/projects as assigned or needed


Critical Skills/Traits

  • Strong proficiency in data analysis & management methodologies
  • Exceptional Excel skills are required, with ability to work with, model and forecast financial data. Strong knowledge of Word, PowerPoint and Outlook
  • Solid understanding of financial statements (basic accounting knowledge is required and valuation knowledge a plus)
  • Exceptional attention to detail alongside strong organizational and time management skills in a fast-moving, ever-changing environment
  • Proactive (self-starter) project management with a team-first attitude and no-task-is-too-small mindset
  • Desire to build out, test, and operationalize tools/products/processes and the curiosity to ensure they work effectively within the firm
  • Excited to work cross-functionally and eager to learn the intricacies and nuances of venture capital

 

Experience

  • 2-4 years as an analyst in a financial/business data analyst program at an accounting firm, inside a company, or within a credit/commercial bank
  • Bachelor’s degree required (Accounting or Finance a plus)
