The Philadelphia School (TPS) is seeking a full-time Admissions Assistant for the 2024-2025 academic year. We are a Preschool - 8 progressive, independent school located in Philadelphia, Pennsylvania with an enrollment of 410 students. Since our founding in 1972, The Philadelphia School has grown in size, complexity, and diversity. Position Summary

Reporting to the Director of Enrollment Management, this person greets all visitors, directs all incoming calls, and additionally supports the operational needs of the admissions department. The Admissions Assistant is an integral member of the Enrollment Management team, providing support for all initiatives related to the student recruitment and enrollment process. The person in this role will manage logistics and administrative details, and must exhibit excellent interpersonal, organizational, collaborative and communication skills. The Admissions Assistant is also primarily responsible for the receptionist duties at 2501 South Street. The admissions Assistant is a full-time, 12-month position, reporting to the Director of Enrollment Management

Responsibilities

  • Reception: Act as the primary greeter to all who enter 2501 South Street.
    • Ensure visitors sign in.
    • Answer all incoming calls, directing callers as necessary.
    • Process outgoing mail and distribute incoming mail.
  • Admissions:
    • Oversee and manage technical aspects of the admission and enrollment process and databases (Finalsite Admissions + Veracross).
    • Track admissions-related data, producing monthly statistics on admissions activity, funnel statistics, and enrollment numbers.
    • Serve as the primary support staff member for the Office of Admission and Director of Enrollment Management, oversee the departmental calendar, and offer administrative support to all team members.
    • Represent the school to prospective families through timely, thoughtful, and individualized communication as they navigate the admission process.
    • Coordinate student visits.
  • Attendance:
    • Responsible for daily reconciliation of student attendance for Grades PS and K. As needed, log students as tardy or absent in Veracross and cross check as needed with teachers to ensure accuracy. Coordinate dismissal of students.
Required Qualifications

  • Bachelor's degree
  • Organized, detail-oriented, able to manage multiple projects simultaneously under varying deadlines.
  • Ability to work cooperatively and communicate effectively with all members of the community.
  • Possess a strong work ethic and willingness to go above and beyond to support the mission of the institution.

  • Excellent verbal and written communication skills required, maintaining open channels and exemplifying strong customer service skills.

Preferred Qualifications

  • Experience working in a school
  • An understanding of the mission, values, and programs of The Philadelphia School.
  • An understanding of the general independent school admission cycle and enrollment funnel.
