THE ROLE
The Resource Coordinator/ Office Manager is focused on supporting the business operations, through effectively managing the availability and scheduling of a large pool of skilled labor as well as the needs of the office. Critical to the role is the ability to decipher and organize information coming from multiple sources in order to meet current needs and anticipate future demands. Gaining an understanding of each team member’s skill set will be necessary to allocate the most qualified person for the successful completion of each project.
Duties include, but are not limited to:
- Support the planning of resources to maximize profitability across multiple projects, managing overtime and employee fatigue
- Input and publish schedule for 100+ employees
- Oversee availability for 100+ employees
- Maintain a comprehensive list of skilled labor to meet constantly changing demands, ensuring the company always has the right people available to meet project deadlines and competing priorities
- Reconcile scheduled vs worked hours, while managing timesheet corrections and approvals
- Assist in the recruiting and hiring process for all hourly employees
- Manage filing systems and office supplies/ maintenance
- Works with the People Operations team to update office policies and onboard new hires
- Support overall departmental objectives as set by the Director of Operations
- Support overall business goals, as set by the company
- Participate and contribute to company culture objectives and company committees
- Support touring logistics including providing contracts and rates
- Support reports and tracking pertaining to hourly benefits qualification and PTO used
The ideal candidate will:
- Must be fluent in English and Spanish
- Must be highly organized and able to implement new systems and processes
- Proficient in Google Sheets/Excel, able to write or manipulate formulas
- Experience with QuickBooks or other accounting/tracking software a plus
- Must be able to provide written reports and feedback
- Must be flexible and adaptable to constant change
- Excellent written and oral communication skills
$70,000 - $78,000 annually
