What you’ll do


  • Acting as the first point of contact, interacting with executive and senior management both internally and externally, maintaining close and positive relationships with clients, partner agencies within the WPP network and all our studios worldwide.
  • Setting up for internal and external meetings when there are client meetings including but not limited to booking rooms, ordering catering, expensing receipts for reimbursement, etc.
  • Extensive and complex calendar management, you will manage the smooth and the efficient running of multiple calendars across different time zones, taking care of all correspondence and administration that goes along with it.
  • Planning extensive international travel, including detailed itineraries, visas and transport, in line with WPP policies.
  • Facilitate effective communication within the executive team and across departments, ensuring that information is relayed accurately and in a timely manner.
  • Provide comprehensive administrative support to executives, including raising of purchase orders and expense claims.
  • Prepare and organize documents, reports, and presentations for meetings and other business activities.
  • Effectively prioritize incoming requests alongside inbox management, responding where appropriate.
  • Develop relationships and support a collaborative culture within the immediate team and beyond.
  • Maintaining professionalism and confidentiality at all times


People and Team


  • Partnering closely with the other EA’s, coordinating tasks together to provide a seamless service to the business and providing ad hoc cover / support where needed.


What you’ll need


  • You will have extensive experience as a well-versed Executive Assistant to a Senior Executive in a professional agency/creative environment, ideally at Senior Leadership level, with experience of a client services environment.
  • An expert in Microsoft Office including Outlook, PowerPoint, Word and Excel.
  • You will have the ability to work fast and accurately under pressure, always maintaining a professional disposition.
  • Excellent organization skills, to plan the use of people and resources to meet deadlines.
  • Strong interpersonal skills, to motivate and lead your project team.
  • Superior experience planning complex travel itineraries.
  • Having previously worked across international time zones is preferred.
  • The ability to monitor and control budgets.
  • Excellent communication and negotiation skills, to manage expectations.
  • The ability to use your initiative and make decisions under pressure.
  • Technical knowledge related to projects may also be required.

Individual compensation varies based on job-related factors, including location, business needs, level of responsibility, experience, and qualifications.
